Help and how to

Step by step guides for setting up Safe Belongings, printing your labels, and using the platform day to day. Signed in? The same guides are available inside the app at Help.

Getting started

Create an account, choose a plan, and set up your first workspace.

Safe Belongings is a software subscription. You create an account, choose a plan, and get access to a private workspace where you manage digital identities for your belongings.

  1. Sign up with your email at the auth screen. Verify your email link to activate the account.
  2. Pick a plan. Households range from Free to Household Plus. Organisations start on a 30 day trial.
  3. Your first workspace is created automatically. Households can invite family members, Organisations can invite staff and auditors.

You can create additional workspaces later and switch between them from the top nav.

Generating labels

Create batches of QR codes ready to assign to items.

Labels are QR codes tied to your workspace. Every scan reaches a private helper page, never your personal contact details.

  1. Open Labels from the top nav.
  2. Click Generate and choose a batch size (10, 25, 50, or 100).
  3. New labels appear in your pool with the status Unclaimed, ready to print and assign.

You do not pay per label. Batches are limited by your plan's item allowance.

Printing labels (PDF)

Turn a batch of labels into a printable PDF using your browser.

Safe Belongings prints labels using your browser's built-in Save as PDF option. This keeps your data on your device and lets you use any paper or sticker sheet you own.

  1. Go to the Labels pool and tick the labels you want to print.
  2. Click Print sheet. A print-ready page opens.
  3. Open the browser print dialog (Cmd+P on macOS, Ctrl+P on Windows).
  4. Set the destination to Save as PDF, keep margins minimal, and disable headers and footers.
  5. Save the PDF, then print it on plain paper, adhesive labels, or laminated card as you prefer.

Recommended sticker sheets: any A4 or US Letter label sheet with a 3 by 8 or similar grid. The print layout scales to standard label templates.

Assigning a label to an item

Link a printed QR code to a specific belonging.

A label has to be assigned before it does anything useful. There are two ways to assign:

  • Scan and assign: scan the QR code with your phone while signed in. You can create a new item or attach the label to an existing one.
  • From the pool: open the Labels page, pick an Unclaimed label, and choose the item to link.

You can unassign or reassign labels at any time. The physical sticker keeps working: it just points to whatever item it is currently linked to.

When something is found

How helpers reach you through a temporary secure portal.

Anyone who scans a Safe Belongings QR code is taken to a public helper page. No app is required.

  1. The helper picks "I found this".
  2. They can share a location, message, or photo. Optionally they verify their phone by SMS.
  3. You receive an alert by email, and by SMS or push if your plan allows.
  4. Both sides talk through a secure temporary portal, without exchanging personal contact details.

When the item is back with you, mark the incident Resolved to close the portal.

Return locations

Optional drop-off point shown to helpers when you cannot meet.

Return Location gives helpers a place to drop off an item without contacting you. It cascades: the item's own Return Location is used first, then the batch default, then the workspace default.

  • Set it on a single item from the item's detail page.
  • Set a batch default when you print labels for a specific site or event.
  • Set a workspace default under Workspace settings.

Helpers see a "Return it now" button on the public helper page when a Return Location is available.

Audits and reports

Organisation only: scheduled audits, auditor role, CSV reports.

Organisations can run scheduled audits of their asset register and export the results.

  • Audit Mode: a guided walkthrough for confirming each item is present at its expected location.
  • Auditor role: a limited role that can run audits and add notes but cannot modify items.
  • Reports: export current asset register, audit outcomes, and incident summaries as CSV.

Plans and billing

Trials, upgrades, changes, and cancellation.

  • Households: Free (1 label), Individual $4.99, Household $9.99, Household Plus $14.99 (AUD, per month).
  • Organisations: Organisation $29.99 (up to 25 users) and Organisation Plus $79.99 (unlimited users), AUD per month. Organisations start on a 30 day trial capped at 20 items and 5 users.
  • Change plan or cancel any time from Billing. Cancellation takes effect at the end of the current period, with no refunds unless required by law.
  • Payments are processed by Paddle as merchant of record. Invoices and tax receipts are issued by Paddle.

Referrals

Give a month, get a month.

Share your referral link. When someone signs up and completes their first paid month, both accounts receive one month of credit on their current plan.

  • Find your link on the Referrals page inside the app.
  • Credits apply once the referred subscription clears its first payment (typically within a few days of signup).
  • Anti-abuse rules apply. Read the full Referral terms.

FAQ

Quick answers to the most common questions.

Does the helper need an app? No. Scanning the QR opens a normal web page in any modern browser.

What happens if I lose the sticker? Reprint the same label from the Labels pool, or reassign a new label to the same item in seconds.

Can I move a label to a new item? Yes. Unassign it, then assign it to any other item in your workspace.

Where is my data stored? On our platform, in an encrypted database. We do not sell your data. See the Privacy Policy.

Is the QR code linked to my address? No. Helpers only see what you have chosen to publish for that item.
